Sales & Depot Administrator

We are recruiting for a Sales & Depot Administrator to join the agricultural division based in Marlborough. Reporting to the Commercial Director, this key role will provide support to the agricultural machinery sales and depot teams, ensuring all processes are followed accurately and in a timely manner.

 Hours: Monday – Friday, 8am-5pm (1 hour lunch break)

Key duties will include:

Sales Administration

  • Ordering of machines from suppliers and creation of whole goods in the dealer management system, Ibcos GOLD
  • Allocating whole goods to customers on receipt of sales
  • Reviewing customer accounts ensuring they are set up for self-billing invoices and VAT registered
  • Setting up cost lines against whole goods prior to invoicing
  • Processing invoices/credit notes from suppliers and filing in the electronic document store
  • Invoicing of new and used whole goods including road registrations
  • Processing the whole goods sales ‘wash outs’ for the sales team’s monthly commission
  • Supporting sales team with documentation required to complete the sales process

Depot Administration

  • Telephone/reception duties
  • Stationary management, post, and petty cash
  • Payroll (spreadsheet), timesheet records and holiday record for the depot
  • Board Room calendar management and organising catering as required
  • Key log for the depot and office tenants key register
  • Support with month end activities
  • General administration and other ad hoc duties for the depot as required

The ideal applicant

  • You will have strong administration skills, excellent communication skills and good attention to detail
  • You will be able to prioritise and organise your workload efficiently
  • You will be numerate and literate, GCSE English and Maths Grade C or equivalent
  • You will possess good IT skills and be at intermediate level with Microsoft Word, Excel and Outlook
  • Previous experience within a similar role would be advantageous
